DUTIES AND RESPONSIBILITIES

Assist the Conference Services Division with the following tasks:

1- Assist the Conference Officer with the preparation of VISA letters for participants in WMO and IPCC meetings;

2- Assist the Conference Officer with the follow-up of letters of credentials during the preparation of WMO Constituent Body Meetings;

3- Assist the Conference Officer in managing the "Registration" mailbox and inform the person in charge if actions need to be taken (queries from delegates and participants in WMO meetings);

4- Assist the Conference Officer with the establishment of guidelines and continuous improvement of the processing of VISAS for participants of WMO meetings;

5- Assist the Conference Officer with the preparation of upcoming Constituent Body meetings: preparation of seating plans, preparation of badge plans;

6- Assist the Travel Unit with the follow-up of travel requests to ensure proper and timely execution of travel requests for WMO and IPCC meetings;

7- Assist the Travel Unit with uploading of suppliers and other data into the system;

8- Assist the Travel Unit with the closure of Purchase Orders to ensure accurate accounts in regards to travel;

9- Assist the Conference Services Department with the updating and maintenance of the information available in the WMO signage system;

10- Assist the CNF staff in managing the CNF mailbox and inform the person in charge if action needs to be taken, such as:
 Circulate Meeting Forms, update the related statistics, offer assistance to departments
 Check notifications of room reservations and coordinate with the operators and the departments regarding logistics around planned meetings
 Answer to various requests from departments: badges, additional equipment, assistance needed, etc.

11- Uploading files related to meetings in Elios (once meetings are completed - large number of files) and ensuring compatibility of the folders in Elios with the S: drive;

12- Carrying out other conference-related tasks as required.
QUALIFICATIONS

Education
Applicants must be enrolled in a graduate school programme (second university degree or equivalent, or higher) in a field closely related to the work of WMO.

Experience
Applicants are not required to have professional work experience for participation in the internship programme. However, any experience or knowledge related to conference services will be an advantage.

Other requirements
Sense of responsibility, initiative, attention to detail, ability to work in a team. Good knowledge of MS Office and standard software applications. Good written and oral communication.

Languages
Excellent knowledge of English. Knowledge of French, Spanish, Russian, Chinese or Arabic would be of added value.
