DUTIES AND RESPONSIBILITIES

Under the overall guidance of the Director of the Resource Management (REM) Department, and under the direct supervision of the Manager of the CREWS Secretariat and Joint Office the incumbent will perform the following duties:

- Provide administrative and secretarial support to ensure the efficient and smooth running of the CREWS Secretariat and Joint Office and monitor the budget;

- Be responsible for administrative and secretarial preparations and follow-up relating to CREWS meetings and missions;

- Handle, register, route, monitor and follow-up all incoming and outgoing mail with a view to establishing deadlines and coordinating inputs for the Manager's signature;

- Organize and maintain the filing system and mailing lists and keep them updated, including maintaining the appropriate databases;

- Draft, edit, proofread and finalize correspondence and documents following standard procedures and formats within the time limit prescribed for the tasks;

- Produce correspondence, documents, presentations, spread-sheets, meeting forms, travel authorizations, reports, etc., within established deadlines;

- Keep the CREWS web pages and databases updated regularly;

- Carry out other relevant duties, as required.
QUALIFICATIONS

Education
Completed secondary school education or equivalent secretarial, commercial or technical studies with corresponding diploma.

Experience
A minimum of five years of progressively responsible experience in similar administrative functions, of which at least three years in an international organization, preferably in a technical department, would be an advantage. Experience in screening and filtering incoming correspondence and documents.

Other requirements
Demonstrated ability to work with standard Microsoft Office applications (Word, Excel and PowerPoint), Google Apps (e-mail, calendar, sites, etc.) and Oracle I-Procurement applications. Experience creating and updating web pages and databases as well as tracking budgets. Excellent communication and diplomatic skills as well as tact and sensitivity. Sense of initiative and ability to work with minimum supervision. Strong planning and organizational skills and familiarity with the administrative procedures and processes of an international organization. Ability to draft and produce correspondence and documents, to manage workloads within a multi-structured environment and to pay attention to detail. An International Computer Driving Licence would be an advantage.

Languages
Excellent knowledge of English. Knowledge of other official languages of the Organization would be an advantage.

(Note: The official languages of the Organization are Arabic, Chinese, English, French, Russian and Spanish.)
Fixed term of one year, with possibility of renewal, subject to availability of funds and satisfactory performance after an initial probationary period of one year, which can be extended up to a maximum of two years.
SALARY
Annual net base salary on initial appointment and after deduction for staff assessment is: CHF 73,876
