DUTIES AND RESPONSIBILITIES

Assist the Conference Services Division with the following tasks:

1- Assist with the preparation of VISA letters for participants in WMO meetings;

2- Assist with the processing of letters of credentials during the preparation of WMO Constituent Body Meetings;

3- Assist in managing the "Registration" mailbox and inform if actions need to be taken (queries from delegates and participants in WMO meetings);

4- Assist with the description of the processes used in the Conference Services and drafting of guidelines;

5- Assist with the preparation of upcoming Constituent Body meetings: preparation of seating plans, preparation of badge plans;

6- Assist with the preparation of online meetings and assist during the online session (training speakers on how to use the online platform; cross-checking the connected participants with those registered online, etc.);

7- Assist with uploading and checking of suppliers and other data into the system;

8- Assist with the closure of Purchase Orders;

9- Assist with the updating and maintenance of the information available in the WMO signage system;

10- Assist in managing the CNF email box and inform the person in charge if action needs to be taken, such as:
- Answer questions on Meeting Requests, update the related statistics, offer assistance to departments
- Check notifications of room reservations and coordinate with the operators and the departments regarding logistics around planned meetings
- Answer to various requests from departments: badges, additional equipment, assistance needed, etc.

11- Uploading files related to meetings in Elios (once meetings are completed - large number of files) and ensuring compatibility of the folders in Elios with the S: drive;

12- Editing raw footages and images and producing final videos using Adobe Premiere;

13- Creating simple graphic designs for various communication materials;

14- Carrying out other conference-related tasks as required.
QUALIFICATIONS

Education
Applicants are not required to have professional work experience for participation in the internship programme. However, any experience related to the operational management of online meetings and virtual events is an advantage.

Experience
Sense of responsibility, initiative, attention to detail, ability to work in a team. Good knowledge of the latest online video-conferencing platforms, MS Office and other audio and video software applications. Good written and oral communication.

Languages
Excellent knowledge of English (both oral and written). Knowledge of French is desirable. Knowledge of other official languages of the Organization would be an advantage.
