DUTIES AND RESPONSIBILITIES

Assist the Conference Services Division with the following tasks:

 Assist Conference Officers with the preparation of upcoming meetings with both aspects of virtual and in-person meetings: room set ups, registration and badging, surveys, virtual platform, and other meeting logistics
 Assist Conference Officer and provide onsite support during WMO meetings such as providing support at registration desk and on the virtual platform as well as in meeting rooms
 Assist Conference Officers monitoring, maintaining, and improving existing automation system in use to process requests for meetings, using "Power Automate" application from Microsoft 365 package
 Assist in exploring and deploying improved automation framework to the process and other areas of work of Conference Services
 Assist in conducting research and analyze data to implement transformative solutions for CNF, focusing on Power Automate improvements.
 Assist in investigating and documenting the Division's work processes, stay informed on industry trends and technologies. Contribute in projects as intern, contribute to defining the Division's needs while carrying out additional relevant duties.
 Assist Conference Officers with coding of data related to conference interpreters to existing system to help ensuring timely payment for the servicing of interpretation
 Assist the Conference Officer with the preparation of VISA letters for participants in WMO and IPCC meetings
 Assist Conference Officers with preparation of statistical data regarding various aspects of WMO meetings
 Assist Conference Officers with room booking requests from other departments using existing room calendars
 Assist Conference Officers with the establishment of informative graphic and video guidelines describing the work of Conference Services for internal and external use
 Assist Travel Unit in reviewing travel claims and other related tasks as required

 Assist Conference Technicians with the servicing of online and in-person meetings when needed
QUALIFICATIONS

Education
Bachelor or equivalent degree from a recognized university in a field closely related to the work of the Division or from a technical institute in Computer Science, Statistics.

Experience
Applicants are not required to have professional work experience for participation in the internship programme. However, any experience or knowledge related to conference services or working with various ERS software will be an advantage.

Other requirements
Sense of responsibility, initiative, attention to detail, ability to work in a team. Good knowledge of MS Office and standard software applications. Understanding of ERP software would be beneficial. An analytical mindset and be able to think critically to identify problems and opportunities. Knowledge in software tools commonly used in the industry, such as Microsoft Excel, SQL, and data visualization tools like Tableau or Power BI. Additionally knowledge of programming languages like Python or R can be beneficial for data analysis and automation. Good written and oral communication.

Languages
Excellent knowledge of English. Knowledge of French, Spanish, Russian, Chinese or Arabic would be of added value.
