DUTIES AND RESPONSIBILITIES

Under the supervision of the GEO Secretariat Director, the incumbent will provide comprehensive support to the Director to support all aspects of his/her daily work routine. This dynamic position requires the incumbent to anticipate needs, think critically and exercise good judgment, and offer solutions to problems with a high level of professionalism and confidentiality.
The incumbent will perform the following duties:

(a) Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Director. Prioritizes and determines appropriate course of action, referral, or response, exercising judgement to reflect Director's style and organizational policies;

(b) Advises Director on time-sensitive and priority issues, ensuring appropriate follow-up. Responds to Director's emails, phone calls, schedule requests, interview and media requests, and other messages, as appropriate, with speed, tact and diplomacy, seeking input from Director and senior team as necessary;

(c) Coordinates all Senior Team meetings and assist with staff meetings and events as needed. Coordinate other work with secretariat staff as needed; play a key role in the coordination of staff efforts both within and outside the organization. Help support staff on-boarding and off-boarding functions;

(d) Schedules key meetings; drafts meeting agendas, supporting materials, and meeting minutes; and records actions. Requests and ensures all required briefing notes, materials and information are obtained in advance, checking for completeness. Maintains the Director's calendar, including scheduling meetings, appointments, speaking engagements. Exercise discretion and judgment in committing time and evaluating materials and other protocol or related needs;

(e) Manages Director and senior team members' follow-up on agreed upon deadlines and deliverables. Uses project management software or another method to track actions, their owners, and respective deadlines;

(f) Arranges travel for Director as needed, including domestic and international trips. Prepares, reconciles, and submits mission reports and travel claims. Prepares, transmits and tracks appropriate mission and meeting follow-up communications;

(g) Provides back-up support to existing administrative support staff and carries out other relevant duties as required;

(h) Travel to accompany Director on missions may be required;

(i) Carry out other relevant duties as required.
QUALIFICATIONS

Education
Master's degree in business or public administration, social or political sciences, economics, law, or related area. A bachelor's degree or equivalent in conjunction with relevant work experience may be accepted.

Experience
At least five (5) years' experience supporting a senior leader, director, or executive leadership team required. Experience with UN agencies or international NGOs highly desired.

Other requirements
Excellent knowledge of Microsoft Office applications (Word, Excel, PowerPoint, SharePoint) required. Ability to communicate professionally and diplomatically with discretion and confidentiality on sensitive matters. Collaborative and team-oriented work style. Detail-oriented self-starter who takes initiative to solve problems and exhibits professional judgement when prioritizing daily tasks. Strong organizational, time management, writing and editing skills necessary. Resourcefulness and ability to thrive under pressure. Ability to work in a multicultural environment and to foster diversity and team spirit.

Languages
Excellent knowledge of English (both oral and written). Knowledge of other official languages of WMO would be an advantage.

The working language of the GEO Secretariat is English.

Possibility of renewal within the GEO Secretariat only pending satisfactory performance after an initial probationary period of one year which can be extended up to a maximum of two years.
SALARY AND ALLOWANCES

Annual net base salary on initial appointment is: US$ 64121

Annual post adjustment on initial salary is: US$ 57709 (in addition to the net base salary)
